Office Assistant

Classification: Part-Time; non-exempt
Hours: Three Days per Week, 9 AM to 5 PM. Occasional evenings & weekends.
Reports to: Executive Director or designee
Salary: $15/hour

DESCRIPTION

The Office Assistant’s overall role provides support to the organization through clerical and administrative functions. This position operates in a highly creative environment while utilizing administrative and project management skills which are key in the Main Street Four-Point Approach and the MainStreet DeLand mission and purpose. As the central cog in the organization, the ideal candidate will be experienced in handling a wide range of administrative and executive support, is comfortable in a customer service position, will be able to work independently with little or no supervision. This person must be exceedingly well-organized, flexible, and enjoy the administrative challenges of supporting a mature, award-winning, and transitioning non-profit organization. This position participates in a wide range of projects identified by the Executive Director and/or their designee.

QUALIFICATIONS

The Office Assistant must possess strong communication skills, must be dependable, self-directed, and have the ability to work effectively as a member of a team. They must have an understanding of and aligned values with MainStreet DeLand Association and be willing to participate in staff and continuing education meetings. Additionally, they must have experience in the following:

RESPONSIBILITIES

  1. Maintain Office Responsibility Coverage from 9 AM to 5 PM, Three Days Weekly

  2. Maintain office services by organizing office operations and procedures, managing correspondence, designing/maintaining filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions

  3. Develop & manage Office Volunteer Program including training volunteers and scheduling office coverage

  4. Event Management clerical tasks including, but not limited to filing permit applications with local municipalities, arrangements with various vendors and event contractors

  5. Oversee the organization & maintenance of facilities and storage spaces

  6. Scheduling occasional Social Media posts

  7. Supervise any additional organizational staff as designated by the Executive Director

  8. Assist in the management of the Executive and Assistant Directors’ schedules and calendars

  9. Assist in the management of the Executive and Assistant Directors’ communications, including making phone calls and answering emails on their behalf

  10. Maintain regular communication with immediate supervisor about any changes or concerns regarding current assignments

  11. Assure compliance with local, state, and federal laws, and established personnel policies and procedures

  12. Meet or exceed delivery of MSDA Service Standards

  13. Be evaluated annually based on competency and performance by the designated supervisor.

  14. Provide the following paperwork:

    1. Submitted Resume and/or Completed Employment Application

    2. Signed Employee Handbook

    3. Signed Code of Conduct

    4. Signed Non-Disclosure Agreement

    5. Signed Social Media Policy

  15. Successfully complete the Four-Point Approach & MSDA orientation

EXPECTED OUTCOMES

A well-managed office which frees the visionary executive team to operate as thought leadership for the organization and community. This position is expected to grow into full-time, dependent upon candidate success.

WORK ENVIRONMENT / ADA

While performing duties of this job, the candidate must have the ability to sit at a desk and view a screen for extended periods of time, travel the sidewalks and stairs of the historic downtown district, and lift 15 to 45 pounds. Reasonable accommodations will be made.
